Fleet management and asset registry

The foundation is an accurate, real-time record of every asset: its location, condition, availability status, assigned depot, and maintenance history. Gradion builds fleet management systems with structured asset registries, live location tracking through GPS and telematics integration (including CAN bus, OBD-II, and custom IoT units), geofencing alerts, and utilisation analytics that replace estimation with measurement.

Booking and operations integration

Fleet availability state and the booking engine need to share the same truth at the same time. When they do not, the result is overbookings, manual reconciliation calls, and customers turned away from vehicles that a system thought were available. Gradion connects the fleet management layer to the reservation system in real time: vehicle availability reflects current status, not a cached state from hours earlier. The reservation handoff covers the full workflow - check-in and check-out, damage documentation with photo capture, fuel level recording, and the customer signature sequence - structured so that field staff can execute it on a tablet in the depot rather than returning to a back-office terminal.

Maintenance and inspection workflows

Preventive maintenance scheduled by calendar is a proxy. Maintenance triggered by actual mileage, engine hours, or telematics alerts is the operation. Gradion builds maintenance workflow systems that fire scheduling actions from real vehicle data: service intervals based on recorded odometer readings, inspection checklists tied to vehicle return, damage tracking with photo documentation linked to the specific asset and rental record, and integration with workshop management systems so that vehicles move from flagged to scheduled to cleared without manual coordination between depot and workshop.

Inspection checklists are structured rather than free-form - condition fields, damage markers on vehicle diagrams, mandatory sign-off before vehicle release - so that the data captured at handoff is usable for insurance claims, cost tracking, and damage dispute resolution, not just filed and forgotten.

Telematics and IoT integration

Modern fleets generate data at the vehicle level that most operators are not using. Gradion integrates vehicle data streams from CAN bus and OBD-II interfaces, third-party telematics units, and custom IoT installations to bring real-time positioning, engine diagnostics, and driver behaviour data into the fleet operations layer. Geofencing alerts notify operations when a vehicle leaves a defined zone. Mileage data feeds directly into maintenance scheduling. Location data feeds into the availability and dispatch view. The integration layer is built to handle the variance in hardware and data formats across a mixed fleet.

Dynamic pricing and revenue management

Utilisation rate is the central variable in rental economics. When utilisation is high and approaching capacity, revenue per available unit should increase. When utilisation is soft, promotional pricing or flexible terms can recover bookings that would otherwise be lost. Gradion builds pricing engine integrations that take fleet utilisation by vehicle type, depot, and date range as inputs alongside demand signals and seasonal patterns, and expose pricing rules that the booking engine applies at the point of search. The configuration interface lets revenue managers adjust parameters without engineering involvement.

Operational dashboards and multi-depot management

Fleet operators running multiple depots across different markets need a single operational view, not one per location. Gradion builds operational dashboards that aggregate utilisation by depot, vehicle category, and time period; track maintenance cost per asset; calculate revenue per asset-day; and surface vehicles approaching service thresholds. For multi-region operations with different regulatory and currency requirements, the system handles the jurisdictional variation without forcing operators to run separate platforms per country. roadsurfer’s 8-language, 7-currency platform is one example of how this plays out in practice. For Germany’s leading car rental company, the same multi-depot and multi-market requirement operates at considerably larger fleet scale across an international station network.
