The client is one of the first and largest foreign business associations in Vietnam, established in 1995 in Ho Chi Minh City. For three decades, the organization has been the central network for German and European companies operating in Vietnam, providing members with business intelligence, regulatory guidance, and a high-frequency event calendar that draws 25,000 participants to 90 events every year. With 400+ corporate and individual members and a presence at the highest levels of international economic relations, the association plays a structurally important role in connecting the two markets.

The Challenge

The organization’s public website had not been meaningfully updated since 2019. Over five years, the underlying WordPress installation, PHP environment, and core plugins had accumulated significant technical debt. Outdated software versions introduced security vulnerabilities, plugin incompatibilities, and an infrastructure no longer reliable under modern browser standards or mobile traffic. For an association that serves 400+ active members and represents a major European business standing in Vietnam, a fragile and visually dated web presence was an inconsistency the organization could not sustain. Beyond the technical issue, the design had not kept pace with the association’s evolution. Navigation was unclear, the mobile experience was inadequate, and the site no longer conveyed the professional credibility expected by the corporate members, partner institutions, and business visitors the organization serves daily. The 30th anniversary, a significant milestone for one of the country’s longest-running foreign business associations, created a fixed and non-negotiable deadline. The new site had to go live on the exact date the client had committed to its membership and stakeholders. This required a full platform overhaul, new design, anniversary branding, and dedicated milestone content, all live on a single date.

The Approach

Gradion, itself a member of the association, was engaged to own the full scope: technical foundation, design refresh, and anniversary content, which were run in parallel to meet the fixed launch date. On the technical side, Gradion executed a complete WordPress and PHP upgrade, bringing the installation to current supported versions and resolving five years of deferred maintenance in a controlled, zero-downtime migration. All plugins were assessed and either updated or replaced where deprecated, closing security gaps and restoring reliable functionality without affecting the live site during the process. In parallel, the UX/UI was redesigned from the ground up. A new visual skin was applied with improved information hierarchy, cleaner navigation, and responsive layouts optimized for mobile. The goal was not aesthetic change alone but a measurable improvement in usability for members, event attendees, and the business community the organization serves. The anniversary workstream delivered a new 30th anniversary logo and dedicated landing pages built to highlight key milestones, member voices, and upcoming events, architected as a standalone section integrated naturally into the renewed site structure. Coordinating all workstreams against a fixed go-live date required precise internal planning.
